The MeetBridge meeting workflow

# A conversation across languages. A clear next step after it.

Prepare the meeting, let participants speak in their own language, and return to the record when it is time to follow up. MeetBridge connects booking, live translation, transcripts and summaries in one meeting workflow.

- Collect the topic, language and preparation details before the call.
- Meet directly in MeetBridge or add Voice to your existing video meeting.
- Review the available meeting record before sharing decisions and next steps.

The product in practice

## Keep the reason for the meeting connected to its outcome

A client explains a requirement in German. Your colleague asks a question in English. A week later, someone needs to know what was actually agreed. MeetBridge helps with both moments: understanding the live conversation and finding the context behind the follow-up. Start with the workflow your meeting needs, then use the individual features as part of that sequence.

Before the meeting

## Start with the question you need to answer

Booking should give you more than a date in the calendar. A useful request tells the host who is joining, which language they use and what they want to discuss. MeetBridge booking links collect that context alongside a requested time, so preparation starts before the conversation does.

Set availability and the durations you want to offer, then add custom questions that help you prepare. For a discovery call, ask about the current process and the problem to solve. For an interview, ask which topic the candidate wants to clarify. Keep the form short enough to finish and specific enough to influence the agenda.

A submitted booking is a request. The host reviews it and approves or rejects it; approval connects the request to a meeting. That distinction matters when a customer proposes a time that still needs your confirmation.

- Use the requester’s language and time zone as preparation context.
- Ask for information you will actually use during the meeting.
- Review pending requests before treating a proposed time as confirmed.

The booking workspace is part of the full MeetBridge workflow. Review requests and prepare the session before entering the meeting.

During the meeting

## Let people explain the detail in their own language

A shared business language can be enough for introductions and still leave people struggling to describe a technical constraint or challenge an assumption. Live voice translation gives participants another way to contribute. Each person selects an available language, speaks in it and hears translated speech from people using another language.

In a full MeetBridge meeting, video, conversation, chat and transcript context belong to the same room. Use the visual workspace for the document or screen you are discussing, then give people clear speaking turns. Translation helps people follow the exchange; the host still sets the pace and confirms the important meaning.

### Hear the conversation

Translated voice lets listeners follow another participant without reading every sentence. People using the same language hear each other directly.

### Check the wording

Transcript context helps you revisit a phrase or locate a detail. Treat it as a support for clarification, especially when a name or number sounds unusual.

### Close the loop

Repeat the proposed decision, the person responsible and the next checkpoint. An understandable discussion becomes useful when everyone agrees what follows.

- Choose the participants’ languages before the substantive discussion starts.
- Keep names, dates, amounts and technical terms visible in chat or the shared document.
- Ask the other person to confirm a commitment in their own words before moving on.

Two ways to meet

## Choose a full MeetBridge meeting or a companion Voice room

Use a full MeetBridge meeting when you want the conversation and its available record in the MeetBridge workflow. Choose MeetBridge Voice when the group already has a Teams, Zoom or Google Meet call and wants to keep its video, screen sharing and chat. Voice carries the spoken conversation in a separate room.

The distinction changes the invitation and the follow-up. A Voice host creates the room in the macOS or Windows desktop app. Guests can join through the invitation in a supported browser or desktop app, and the host approves admission. Everyone who speaks needs to join that same Voice room.

- For Voice, turn off both the microphone and incoming meeting audio in the original platform.
- Keep the original video platform open for its visual meeting tools.
- Plan notes for companion Voice sessions; its live transcript does not guarantee a saved meeting history or AI summary.

Choose the workflow around the meeting and the record you need

| Meeting need | Full MeetBridge meeting | MeetBridge Voice |
| --- | --- | --- |
| Where people meet | A MeetBridge meeting room | A separate Voice room alongside your video platform |
| Video and screen sharing | Part of the MeetBridge meeting | Remain in Teams, Zoom, Google Meet or the chosen platform |
| Spoken conversation | In the MeetBridge room | In Voice; every speaker joins the Voice invitation |
| After the call | Available transcript, chat, summary and participant context in the meeting record | Plan your own follow-up notes; saved history and summary are not guaranteed |
| Best starting point | A new meeting where preparation and follow-up matter | An existing video meeting you want to keep |

After the meeting

## Return to what was said before writing what it means

The meeting record gives your follow-up a place to start. In a full MeetBridge meeting, available transcript entries, chat, participant context and timeline help you retrace the discussion. You can examine the wording around a decision instead of reconstructing it from a hurried note.

That matters when several similar calls happen close together. A supplier may have discussed an estimated shipment date, while another confirmed a deadline. Reopen the relevant meeting and review the exchange before reporting either as a commitment. The record preserves context; your judgment determines how to use it.

- Locate the meeting by its title, timing and participants in My Meets.
- Use transcript and chat together when a detail was also written in the room.
- Distinguish a question, proposal and confirmed decision in your recap.

![MeetBridge My Meets workspace showing meeting history and meeting management controls.](https://img.meetbridge.co/marketing/dashboard-showcase/v2/en/light/my-meets.webp)![MeetBridge My Meets workspace showing meeting history and meeting management controls.](https://img.meetbridge.co/marketing/dashboard-showcase/v2/en/dark/my-meets.webp)

My Meets provides meeting history and access to available meeting details. Record contents depend on the meeting workflow and enabled features.

From discussion to action

## Use a summary to organize the follow-up, then review it

An AI meeting summary helps you move from a long discussion to the topics, decisions and next steps worth checking. It gives you a draft to work from after the meeting. It can also omit context or interpret an uncertain statement too strongly, so compare material details with the available record before sharing them.

Turn “we should look at this” into a useful next step only after the owner confirms it. Write the deliverable, responsible person and agreed timing. Keep unresolved questions separate from approved work. Then transfer confirmed actions into the process your team uses to deliver them.

- Review names, amounts, dates and approval status against the conversation.
- Expect generation to take time; a session with little usable content may not produce a useful summary.
- Confirm actions with their owners, then track the agreed work in your existing team process.

**Choose the record before the call**

Booking, translation, transcripts, summaries and meeting history are part of the MeetBridge offering. Check current plan usage, participant and workspace limits, and confirm the meeting features you need. Companion Voice sessions have different record expectations from full meetings.

Where the workflow helps

## Keep different meetings focused on their own outcome

The same sequence can support very different conversations. The useful result is not always a sale or an approved project. Sometimes it is an accurately understood constraint, a candidate’s complete answer or a question that still needs an owner.

### Customer discovery

Collect the customer’s context before the call, let them explain their current process in their own language, and review the record before turning a problem into a requirement.

### Hiring conversations

Prepare the interview topics and language choices. Keep questions clear, leave room for a complete response and review the candidate’s actual explanation before writing an assessment.

### Supplier and partner reviews

Put specifications, dates and quantities on screen. Clarify the constraints together, then separate a tentative proposal from a confirmed delivery commitment in the recap.

- Design the agenda around the decision or understanding you need.
- Give participants a chance to correct your interpretation while they are present.
- Use the follow-up to make both progress and uncertainty visible.

Get started deliberately

## Start with one meeting you already understand

Choose an ordinary client review or team discussion for your first session. Familiar subject matter makes it easier to judge whether the workflow helps: can people join, contribute in their chosen language, correct a misunderstood phrase and agree the next step? Include the preparation and follow-up in that first trial.

MeetBridge is available on the web and iOS. MeetBridge Voice is available for macOS and Windows; invited Voice guests can use a supported browser. Android is listed as coming soon. Use the download page for the current release choices and the pricing page for the host usage and capacity you need.

- Confirm language choices, supported devices and the host’s available usage.
- Check microphones and listening output before discussing the agenda.
- Evaluate the quality of the reviewed follow-up as well as the live exchange.

Step by step

## One meeting, from the first request to the next step

Use this sequence for a full MeetBridge meeting. For a companion Voice session, keep the separate invitation and documentation plan in your preparation.

1. ### Collect the context

Share a booking link or create a meeting. Gather the topic, participants’ language needs and the details that will shape the agenda.

2. ### Confirm the session

Review a booking request, approve the appropriate time and share the meeting details. Make the purpose clear before people join.

3. ### Prepare the room

Choose languages and audio devices. Confirm who is present and show the agenda, relevant document or example.

4. ### Discuss and confirm

Take clear speaking turns, use live translation and check the important meaning. Close with agreed decisions, owners and open questions.

5. ### Review and follow through

Open the available meeting record and summary. Correct material details, share the reviewed recap and carry confirmed actions into your delivery process.

Illustrative meeting

## A discovery call that becomes a clear project brief

An English-speaking consultant meets a German-speaking operations manager about replacing a manual reporting process. They choose a full MeetBridge meeting because the consultant needs to review the discussion before drafting the scope.

Prepare

### A useful answer before the call

The booking form asks which reporting step takes the most effort. The client describes a weekly consolidation problem. The consultant prepares a process diagram instead of a generic product presentation.

Discuss

### Explain the exception in the client’s language

With their languages selected, the client explains that regional approvals must finish before consolidation. The consultant asks whether this is a legal requirement or an internal policy and records the clarification in the shared notes.

Review

### A proposal remains a proposal

After the call, the consultant reviews the available transcript and summary. A suggested pilot date is still awaiting an internal approval, so the brief lists it as tentative and assigns the approval question to the client.

**What changes in the workflow**

The useful outcome is a reviewed brief with a clear dependency and owner. Translation helped the conversation; preparation, confirmation and record review made it actionable.

Practical outcomes

## What your team can improve

- More room for participants to explain their own context across languages.
- A clearer connection between the meeting request, discussion and reviewed recap.
- Follow-up that distinguishes agreed work from proposals and unanswered questions.

Before you get started

## Frequently asked questions

What is MeetBridge?

MeetBridge is a meeting platform that brings booking, live multilingual conversation and meeting follow-up into one workflow. A full meeting can include video, chat, live translation, transcript context and an available meeting summary. MeetBridge Voice is the companion option when you want to keep another platform’s video meeting.

What is the difference between MeetBridge and MeetBridge Voice?

A full MeetBridge meeting takes place in a MeetBridge room and supports the broader meeting record workflow. Voice carries spoken conversation in a separate room alongside Teams, Zoom, Google Meet or another video platform. Voice has its own invitation and admission process; its live transcript does not guarantee saved meeting history or an AI summary.

Can each participant speak a different language?

Participants select individually from the languages available in the room. They speak in their selected language and hear translated speech from people using another language. Same-language participants hear each other directly. Confirm the room’s language choices before arranging the session.

Can we keep our existing Teams, Zoom or Google Meet call?

Yes, use MeetBridge Voice for the conversation while keeping the original platform for video, screen sharing and chat. Everyone who speaks must join the separate Voice room. Disable both the original platform’s microphone and incoming meeting audio so the conversation has one audio path.

Do invited Voice guests need the desktop app or a paid plan?

The host creates the room in the desktop app. An invited guest can continue in a supported browser, enter their name, allow microphone access and request admission. The host approves the request. Guests do not need their own paid plan to join; room usage comes from the host’s MeetBridge plan.

Does a booking link confirm a meeting automatically?

A submitted booking is a request for a time. The host reviews and approves or rejects it. Approval connects the request to a meeting. Use custom questions to collect relevant context, but keep proposed times separate from confirmed sessions in your communication.

What can I review after a full MeetBridge meeting?

The available meeting details can include participants, transcript entries, chat, timeline context and a generated summary. Review the record for the meeting you held and the features that were enabled. A summary may still be pending, fail to generate or have insufficient content; it should not be treated as an infallible account.

Will meeting actions update our project or CRM tools automatically?

This workflow does not promise automatic synchronization with external task tools or a CRM. Review proposed actions, confirm the owner and agreed timing, and transfer the approved work into the system your team uses. A summary helps organize follow-up; the team still manages delivery.

Which devices are available?

MeetBridge is available on the web and iOS. MeetBridge Voice has macOS and Windows desktop releases, with supported browser joining for invited guests. Android is coming soon. The download page is the place to check current public releases and choose the right application.

How should we evaluate MeetBridge for our team?

Start with a familiar, ordinary meeting. Assess whether guests can join, explain a detail in their own language, correct an interpretation and agree a concrete next step. Then review the available record and write the follow-up. Check current host usage, participant capacity and workspace limits against the way your team meets.
